Lists and areas

Organize lists, separate parts of your life, and bring connected lists together.

Lists that fit your work

Lists hold tasks and can contain nested lists. Folders group related lists in the sidebar. Use the + beside Lists to create a list, or press Shift+L.

Open a list to see its active tasks and tasks in nested lists. Use its menu to rename or organize it. Press Shift+E to rename the current list.

See a list’s connected sources

Connected lists and folders show source names below the title. Select the source names to expand connection details, including accounts, sync modes, and new-task behavior. Select a source badge in those details to open its connection settings.

  • Import only: Changes come from the external service. Manage them there.
  • Two-way updates: Supported edits to imported tasks sync back to their original source.
  • Disconnected: The source is no longer connected. Reconnect it to resume syncing.

The note below the sources explains where new tasks go. New tasks in a regular Godspeed list also sync to Godspeed when two-way sync is enabled. New tasks in GitHub, Shortcut, and calendar lists stay in Plan Your Work. Combined lists send new tasks to their main source when it supports creation. Linking never copies tasks between external services.

A local folder does not become externally connected just because it contains connected lists.

Separate your areas

Areas are optional. Enable them in Settings to use Personal, Work, and People. Assign an area at the list level. Nested lists inherit that area unless they have their own assignment.

Select an area icon to limit the workspace to its lists and tasks. Select All areas to see everything together. Calendars also have area assignments.

The command palette includes commands to switch areas and assign the current list to an area.

Avoid a repeated top-level folder

A folder can serve as an area container. For example, assign a Work folder to Work and enable Show nested lists directly in this area. In the Work area, its children appear directly in the sidebar. The list hierarchy remains intact in All areas.

Linking combines connected lists inside Plan Your Work. It does not copy tasks from one external service to another.

  1. Open the list that you want to keep.
  2. Select Link lists below the task list.
  3. Select the connected list to bring into this view.
  4. Select the New task destination.
  5. Check the selection and finish linking.

The first list keeps its identity. The linked list takes the selected destination’s name. The linked list uses that source’s parent folder and position, regardless of which list you select first. With Plan Your Work only, it keeps the first list’s name and placement. Tasks from the other list appear alongside its tasks. Future imports from either source arrive in this combined list.

Reminders and Godspeed tasks with the same title merge, preferring an open match in each source. If no open match exists, a single completed match can be used. The selected new task destination’s notes, due date, and completion state also win at merge time. New task routing and merge precedence are separate rules, although they currently use the same selection. That state syncs to the existing task in the other source. Later edits from Plan Your Work, Reminders, or Godspeed sync to both connected tasks when sending is enabled. Multiple open matches within one source remain separate because the match is ambiguous. The same applies to multiple completed matches when no open match exists.

New tasks are created only in the selected destination. Other linked sources do not receive new copies. Select Plan Your Work only to keep new tasks local. With that selection, linking keeps the first list’s version of matching tasks. Change the destination later through Edit list → New task destination. Changing this setting does not redirect existing tasks or queued creations. A disconnected destination does not redirect tasks to another service. Tasks created while disconnected stay local.

For lists already linked, expand the connected source details and select Merge matching tasks. Set the new task destination first to choose which version currently wins. With Plan Your Work only, this action keeps the oldest local task. Sync Reminders from the source iPhone to include matching tasks that were already completed before linking. Matching also runs after subsequent source syncs. Unrelated completed history stays excluded.

Creating tasks in an unlinked source list follows that connector’s creation rules.

Move tasks and keep context

Select a task and press M to choose another list. The command palette also includes the move action. Moving a task preserves its source identity and follows existing connector sync rules. Calendar events remain in their source calendar and cannot be moved as tasks.

Archive finished lists

Archive a list to hide it and its tasks from active views.

Delete a list or folder

Open the list or folder, then select the three-dot button to edit it. Select Delete list or Delete folder at the bottom of the editor, then confirm. Nested lists and their tasks move up one level and keep their areas.

If the list has tasks, move them to another list first, including completed tasks. The Inbox and connected lists cannot be deleted here. Manage connected lists through their connection in Settings.

Nest lists and create folders

Open a list and select its Edit list menu. Choose a Parent list or folder to place it inside another list or folder. Choose Top level to remove its parent. Parent choices show the full path to distinguish lists with the same name.

When you create an empty local list, select Use as a folder to organize nested lists without adding tasks directly. Regular lists can hold both tasks and nested lists. Lists that already have tasks or connected sources cannot become folders.

On desktop, drag a list in the sidebar:

  • Drop on the middle of another list to nest it.
  • Drop near the top or bottom of a row to reorder it.
  • Drop on the Lists heading to move it to the top level.

The highlighted row or edge shows where the list will go. Use the parent field on touch devices or with the keyboard.

Moving a list keeps its tasks and everything nested inside it. This organization does not change external lists or copy tasks between sources. When areas are enabled, dragging into a new parent inherits its area. Moving back to the top level keeps that area. The editor lets you select a different area explicitly.

Calendar sync preserves the calendar list’s local name, parent folder, and sidebar order. Godspeed sync also preserves parent and order changes you make here. Untouched lists continue to follow Godspeed’s organization. These local choices do not change the organization in Godspeed.

The MCP API calls lists “projects.” Existing list_projects, create_project, and other project tools keep their names.
